1. Interviewing and Application Form

Prospective tenants are interviewed and requested to complete a detailed application form with personal details, work details, trade references, Copy of I.D. Document/Passport, Copy of Work Permit if an Alien, Letter of Employment, Salary Advice, latest bank statement, If self employed CK Documents (latest 6 months bank statements) etc.

2. ITC / TPN (Tenant Profile Network)

A detailed history on accounts which includes a credit search with ITC and with Tpn. Tpn is a credit referencing agency who provides information on financial and suitability of a tenant and who advises if the tenant has an adverse credit history. This enables us to make an informed decision as to whether or not to recommend the tenant to our Landlord.

3. Previous Landlord Check

A reference is obtained from a previous landlord when applicable and possible, this will enable us to be satisfied concerning the proposed tenant’s conduct and reliability.

4. Tenant Payment Instructions

Instructing Tenant regarding rental payment methods. Collecting the securing/breakage deposit and investment thereof in terms of legislation.

General Information to Tenant/s

  1. Informing the approved tenant of important Body Corporate information etc.
  2. Tenant Guidelines is handed to the tenant
  3. Frequently Asked Tenants Questions and Answers is included in the Tenant Booklet.
  4. If the Body Corporate of a complex requires notification or meetings with the new tenant/s moving we advise the tenant and the trustees accordingly.

Property Inspection

The Inspection Report, Assessment Report, and Defects List (The Inspection Report and Defects List forms part of the Lease Agreement) We will undertake to inspect your property on a regular basis in order to ensure your tenant (s) is keeping your property in a satisfactory manner. Our inspections are aimed at ensuring your property is being respected by the tenant, although we have to make prior arrangements and set up an appointment for access not to infringe on their rights by law etc. If there is a reason to believe that the tenant is in breach i.e. overcrowding, etc. we do at times do spot checks on landlord’s request, and if possible, manage entry without making prior arrangements, although it is not always possible. We adopt a “common sense” approach to property inspections and will inform landlords should we be unhappy with the tenant/s conduct.

A written report/assessment is submitted to you after each inspection. In the event of us noticing that work may be needed to maintain your property, we will endeavor to inform you and if required, obtain quotations for the work and forwarded to you.

Photos are also taken at inspections, move-in, and move-out and kept on record. Our experience has proven that photos are concrete proof especially when deposits are kept for damages thus limiting arguments which is very common when deposit refunds are disputed.
In the case of the existing tenant does not qualifying to renew his/her lease due to breach i.e. non payment of rentals, breach of Body Corporate Rules, property not kept in a good state, or for any other reason that is causing a breach to the terms and condition of the current signed lease, Townhouse Rentals will discuss with the Landlord in order to advertise and market for a new prospective tenant.

Damages

One hardly ever reads or hears about the perfect tenant who looks after their rented property admirable, one only hears the horror stories of tenants abusing their rented property and leaving it in a poor condition. Our experience of this is thankfully very rare, due to us being hands-on, often making visits to the complex, and keeping in touch with our tenants, regular inspections minimize damages to your property investment. If however, damages have occurred to your property, we will advise you of the courses of action and assist you through to a conclusion and take the necessary steps and action.
